Every relationship within OutSmart must be given a <span style="color: #ff991f">debtor number</span> and a <span style="color: #ff991f">(Company) name</span>. Based on the debtor number, the relationship is stored and linked to the various work orders / quotations / invoices / etc. that belong to this customer. So make sure that this is <u>a unique number</u>. If you import the relationships from integrated software, this number will also be filled in from that program.

Logically, you can also enter further name and address details of the customer here. This is the standard data that is used when you create a work order for this customer. This information will be included in a work order at both the delivery data and the invoice data. So if the relationship concerns a company, it is advisable to enter the details of head quarters here, wherever the invoice should go.

By clicking on the Add button under CRM > Customer, you can <span style="color: #ff991f">create a new customer</span>. You can also create a new debtor from a new work order or quotation. You will then be taken to the following screen:

Here you can see the information that can be entered per customer. The debtor number can be filled in yourself, but you can also use the button with the magic wand, with which the first available highest number is filled in. Furthermore, you can fill in the information you have, but you can also leave fields blank. You can always fill this in later.

You can choose to enter the address completely manually, but you can also click on the <span style="color: #ff991f">magnifying glass at the zip code </span>(only works for Dutch addresses). Then you only have to enter the zip code and the house number and the system itself will look for the address details (and geolocation).

Furthermore, you will see a distinction between <span style="color: #ff991f">Email</span> and <span style="color: #ff991f">Work order e-mail</span>. The email address with which you have contact can be entered in email. If the customer has another e-mail address to which they want the work order to be emailed, this can be entered in Work order email address.

Any standard comments for this customer (such as; 'Do not call before 08:30' or 'Entrance through the garage door'), can be filled at <span style="color: #ff991f">Notes</span>. This note will  appear on every work order for this customer.

There are some settings you can make for the newly created customer.

- <span style="color: #ff991f">Service slip</span>: Here you can select whether a certain Service slip / PDF settings should always be used for this customer. This can be useful if, for example, you always want to use a French work order for this customer, while the standard PDF is Dutch.
- <span style="color: #ff991f">Discount rate</span>: if you always want to give an x% discount on the items and the hours for this customer, you can enter that here.

> ⚠️ Note: if you use a software integration, it is possible that this discount will not be included in the invoice in that system.

- <span style="color: #ff991f">Person responsible</span>: this is one of your employees that you want to appoint as the responsible/account manager of this customer. Then you can easily search the relationship list for the customers of the responsible X.
- <span style="color: #ff991f">Language</span>: If you select a language here, the chosen items on a work order will be shown in that language, if a translation is entered for that item. For every item you can enter a translation by editing the item.

It is also possible to import customers in bulk instead of creating them one by one. This can be done via Settings > Import data. There you can upload an Excel file with all the customers and import it in OutSmart in three steps.
