When you start with OutSmart and you have [created and activated employees](https://out-smart.atlassian.net/wiki/spaces/TIB/pages/418512956), every employee will appear on the scheduler. But the employee who manages the schedule in the office, probably doesn’t need to be on the scheduler himself, because he is not assigned work orders.

And the field service employees who do get work orders assigned, may need to be divided into different groups. For example, you can think of employees who only work in the North of your country and a group of employees who only work in the South. Or one employee does Installation work, but no Maintenance. There are various options on how to organize your scheduler.

In the following example, we create a group Field Service, which includes an Inspection group and an Installation group.

To create planning board groups you can click on the <span style="color: #ff991f">orange + sign</span>. This can be found at the top right of the employees on the planning board:

When you click on it, you will enter a screen where you can click 'Add group'. There you enter a unique code and a name for the group. Optionally, you can also give the group a color, so that on the scheduler this color is shown with this group.

To assign employees to a group, drag the employee from 'Available employees' to the group in which this employee should be placed. You can also put an employee in multiple groups, for example if they carry out both installation and inspection work.

If you want to remove an employee from a group, you can click on the plus sign again. In the overview where you can drag employee into the right group, you can also click on the employee in the group. Then you will get the option 'Remove from group'.

You can also click on the eye next to the employee. Then the employee remains in this group, but is not shown on the scheduler.

To change groups, you can click on the 'Groups' button under the overview of the available employees. Here you can give the group a different name, by editing the group. You will find a (Dutch) video about this below:
